Tips for After-Hours Proposal Submissions

Year after year, hundreds of proposals for the AFS annual meeting are submitted in the last two days before the deadline for submissions; in the last hours, proposals typically come in by the minute. 99% of them will come through successfully and without incident. Still, we stay alert in these last days to solve problems that may arise—but we’re only there during business hours.

This year, the deadline is midnight on Wednesday, April 10. Be assured that we will take time Thursday, April 11, as necessary, to resolve remaining problems with all good-faith efforts to meet the deadline. If you encounter any problems with your submission, please email us at [email protected].

Many questions may be answered in our webpages, starting with How to Submit a Proposal. Here are some additional tips for resolving problems without staff intervention:

• ALL PRESENTERS–including forum participants, co-presenters, discussants, and participants in special curated programs–must submit their own individual information for the program.
  
• Start your proposal here
  • The submission portal will lead you through the submission process, based on your proposal type.
  • You can submit an incomplete proposal and come back to edit until the deadline, but you will need to fill in the required fields to save.
  • Keep your submission confirmation email so you can access your submission whenever you like until the deadline.

Pre-organized session chairs: 

• Please encourage your panelists to submit their information ahead of the deadline.
  • This is particularly important for paper panels, to ensure that the Review Committee has full information when considering your session proposal.
• If you are applying for your session to be hybrid, please do both of the following 2 steps:
  • Tick the box in your session proposal
  • Submit this hybrid application form
